Data Load
Data Load is a bulk-import wizard for loading data from an Excel spreadsheet into DealerPortal. It works against a fixed set of Import Types, each configured ahead of time by your development/database team — an admin picks an existing import type and supplies the data; new import types aren't created through this screen.
Import Workflow
Go to Administration → Data Load.
1. Select File to Import
- Choose an Import Type from the dropdown.
- Drag your Excel file (
.xlsor.xlsx, up to 2MB) onto the upload area, or click to browse.
Tips
Not sure of the expected column layout? Click "download an Excel template" to get a blank spreadsheet with the correct headers for the selected import type.
If your workbook has more than one worksheet, you'll be asked to choose which one to import.
2. Map Columns
Each column from your spreadsheet is listed with a dropdown to choose which database column it should map to. Columns with matching names are mapped automatically. You can also choose "Do not import" to skip a column, or add a brand-new destination column if the ones offered don't fit.
If you proceed with any column still set to "Do not import," you'll be asked to confirm before continuing.
3. Preview
Click Preview to stage your data. You'll see the mapped rows in a table. Any row with a problem shows its error message instead of/alongside the data — review these before committing.
If something's wrong, click Cancel & Import Again to discard the staged file and start over.
4. Commit Import
Click Commit Import to apply the staged data. You'll see a confirmation once it's complete. If the commit fails, you'll be told to retain the import file for review — don't discard it until the issue is resolved.
Import History
Go to Administration → Data Load → History to see every past import: its type, file name, who uploaded it, and when. Click the download icon on any row to retrieve the original uploaded file.
