File Manager

File Manager is the administrative side of the document library — where folders and files are organized, uploaded, and made visible to the right audience. Dealers browse the resulting library from File Library.

Layout

Go to Administration → File Manager. The folder list appears on the left (plus a special Trash entry at the bottom); the selected folder's files appear on the right along with the toolbar for that folder.

Managing Folders

  • Add Folder — give it a Name and choose who can view it under Viewable by only. Leave that field empty to make the folder visible to everyone; select one or more User Groups to restrict it.
  • Update Folder — select a folder, click Update Folder, and change its name or visibility.
  • Delete Folder — select a folder and click Delete Folder, then confirm. This also removes every document inside it.

Warning

Deleting a folder deletes its documents along with it. This can't be undone from the Trash — deleted folders and their contents don't appear there.

Uploading Documents

  1. Select the folder you want to upload into.
  2. Click Add File and drag a file onto the drop area (or click to browse). Files up to 200MB are supported.
  3. Enter a Name and Description.
  4. Check Pin to Dashboard if you want this document to appear on every eligible user's dashboard.
  5. Save.

Editing, Moving, and Removing Documents

  • Click the edit icon on a document to change its Name, Description, or Pin to Dashboard setting (or attach a replacement file).
  • Click the move icon to relocate a document to a different folder without re-uploading it.
  • Click the delete icon to send a document to the Trash. This doesn't remove it permanently — it can still be restored.

Trash

Select the Trash folder in the sidebar to see everything that's been deleted. From here you can:

  • Restore an individual document, which also restores its parent folder if that folder had been deleted.
  • Empty Trash, which permanently deletes every document currently in the Trash and removes its uploaded file.

Warning

Empty Trash is permanent. There is no way to recover a document after it has been emptied from the Trash.

Folder Visibility vs. Dashboard Pinning

These are two independent settings:

  • Viewable by only (set on the folder) controls who can see the folder and its contents at all.
  • Pin to Dashboard (set on a document) controls whether that specific document also surfaces on the dashboard for anyone who can already see it.

A dealer can also pin any document they can see to their own dashboard for personal convenience — that's a separate, per-person preference set from the File Library page, not something managed here.
