Order Admin

Order Admin is where submitted Order Pads are tracked from receipt through fulfillment. Only submitted Order Pads appear here — a dealer's in-progress cart doesn't show up until they submit it.

Order List

Go to Administration → Order Admin to see every submitted Order Pad: its ID, who submitted it and when, and the most recent activity (what happened, by whom, and when).

Order Details

Click the edit icon on an order to open Order Pad Parts, which shows:

  • A status banner with the current activity, who performed it, and when.
  • View History — opens the full status history for this order (see below).
  • An editable Delivery Method and PO Number, each saved independently with its own save button.
  • The line-item parts table: quantity (editable inline), part number, description, list price (if enabled), net price, and a delete button per line.
  • Add Part — jumps to the parts catalog to add more items to this order.

Updating Status

  1. From Order Details, click Update Status.
  2. Choose an Activity from the dropdown (the available statuses are configured in Statuses).
  3. Set the Date/Time (defaults to now) and Activity By (defaults to you, but can be reassigned to another person).
  4. Add optional Notes.
  5. Click Save.

Every status update is appended to the order's history — nothing is overwritten, so the full timeline is always available.

Status History

Click View History on an order to see every status entry ever recorded for it, newest first, with the activity, who performed it, when, and any notes.

Sending an Updated Order Email

If delivery details change after an order was submitted, use Send Updated Order Email:

  1. Click the button from Order Details.
  2. Confirm or update the Delivery Method and PO Number.
  3. Add any optional notes for the recipient.
  4. Click Send.

This re-sends the order as a spreadsheet attachment to the order department, with the updated delivery method, PO number, and notes included. It updates the header fields on screen but does not add a new entry to the status history.

Tips

Use Update Status to log where an order stands (e.g. "Processing", "Shipped"). Use Send Updated Order Email only when you need to notify the order department of a change in delivery details.
